Checklist for receiving a peptide vial in the laboratory
Receiving a research vial requires checks on four fronts: packaging and cold chain at delivery, the vial's identity against the quotation, the batch matching the certificate of analysis, and the custody record. Any issue is reported with photos within 48 hours after delivery.
What is prepared before the order arrives?
- Designate the person who receives the order and a backup.
- Have the written confirmation, the order number and the waybill at hand.
- Leave free and clean the storage space that the batch documentation declares (for example, 2–8 °C refrigeration if so specified).
- Prepare the receiving record form (see below).
- Have a camera available to photograph the packaging before opening it.
What is checked at delivery?
| Check | What to verify | If it does not match |
|---|---|---|
| 1. Outer packaging | No dents, moisture or prior opening | Photograph before opening and note the issue on the carrier's delivery report |
| 2. Waybill and order | The waybill and order numbers match the written confirmation | Consult the supplier before opening |
| 3. Cold chain | The cooling element is present and in the expected condition, when the shipment requires it | Photograph, note the time and report |
| 4. Quantity | The number of vials matches the quotation | Report with photos of the contents |
| 5. Label | Reference, presentation and batch number legible and consistent with what was quoted | Report the reference received |
| 6. Vial integrity | Cap and seal intact, no cracks or leaks, with an appearance consistent with the sheet (lyophilized powder) | Photograph without opening the vial and report |
| 7. Document | Certificate of analysis available for the batch received | Request it in writing from the supplier |
How is the vial checked against the certificate of analysis?
- The vial's batch number is the same as the one on the certificate.
- The compound and presentation on the certificate correspond to the reference received.
- The certificate reports HPLC purity and identity confirmation by mass spectrometry, with their method.
- The issuing laboratory and the analysis date are identified.
- Parameters that the certificate does not include are declared as not determined.
If the batch does not match, the certificate provides no traceability for that vial. How to read each field is covered in this section's article on the certificate of analysis.
What is recorded for the chain of custody?
| Field | What to record |
|---|---|
| Date and time of receipt | Time of delivery and of opening the packaging |
| Person responsible | Name of the person who receives and signs |
| Order and waybill | Order number and waybill number |
| Receiving status | Result of each check and associated photos |
| Reference and batch | Reference code, presentation and batch number of the vial |
| Location and condition | Where it is stored and the condition declared in the batch documentation |
| Documents filed | Quotation, written confirmation, certificate of analysis and proof of payment |
What temperature this catalog declares and how a vial travels is covered in this section's article on storage and transport.
What should be done if something does not match, and within what time?
The deadline to report is 48 hours from delivery. The report is made via WhatsApp with photos of the packaging and the product and the order number. It covers damage, shortages and a reference different from the one requested, with free replacement.
- Photograph the outer packaging, the contents and the label before discarding anything.
- Keep the packaging, the cooling element and the documents.
- Keep the material in the condition declared by the batch documentation while the matter is resolved.
- Send the report with the order number within 48 hours.
The warranty covers the identity of the product, the integrity of the packaging and the shipping conditions; it does not cover outcomes or any use other than laboratory research.
Frequently asked questions
- How long is there to report an issue?
- Within 48 hours after delivery, via WhatsApp, with photos of the packaging and the product and the order number.
- Does the vial have to be opened to inspect it?
- No. The receiving check is visual and documentary: packaging, label, batch, vial integrity and certificate. Opening the vial is not part of this check.
- Which photos are worth taking?
- The outer packaging before opening it, the contents, the vial label with the batch legible and any visible damage. The photos accompany the report.
- What happens if the package arrives without a cooling element?
- It is documented with photos and the time, and reported within 48 hours. The written quotation confirms whether the reference was shipped under cold chain.
- Who should file the certificate of analysis?
- The buying institution, together with the receiving record, so that the vial's batch can be traced back to its document.
- Does this checklist explain how to prepare or use the material?
- No. This site does not publish reconstitution or routes of administration. The checklist covers only receiving and record-keeping.
